The per-kilo rate is the least reliable number on a Poland-bound invoice. Here is the full landed-cost stack we log: chargeable weight, packaging removal, coupon tiers, payment fees, VAT and the new EUR 3 duty.
Every first haul to Poland starts with the same question: the line card shows a rate per kilogram, so why does the invoice say something else? We have logged landed-cost stacks for Poland-bound parcels since 2021, and the headline per-kilo rate has never once been the number that decided the final bill. Chargeable weight, what the warehouse takes out of the box, when a coupon expires, and what Polish customs adds on arrival move the total far more than a couple of eurocents per kilo on the rate sheet.
Chargeable weight is the real unit of sale
Kakobuy bills the higher of actual weight and volumetric weight. On the two Poland lanes we use most — Europe Tariffless Line – electrified and Europe DHL Small Parcel (Economy) — the divisor is 8,000: length × width × height in centimetres, divided by 8,000. That is more forgiving than a Polish domestic courier. DPD divides by 6,000 for domestic parcels and 5,000 for international ones, DHL Parcel uses 4,000, and InPost couriers also work on 6,000. A box that is only mildly volumetric on a tariffless lane can become heavily volumetric if it is ever re-shipped inside Poland.
Our clearest example: four garments packed by the warehouse into a 48 × 34 × 26 cm carton. Bench weight, 3.10 kg. Volume, 42,432 cm³, divided by 8,000, gives 5.30 kg. Billing weight: 5.30 kg. The scale was almost 71% lighter than what we actually paid for. Nothing about that haul was unusual — it was mostly air, shoe boxes and folded knitwear.
"We were billed 5.30 kg for a 3.10 kg box. The carrier invoice was correct; our packing list was not."
What packaging removal actually buys you
A standard sneaker box measures roughly 35 × 25 × 15 cm, weighs 400–600 g and occupies about 13,000 cm³ of dead space. On one nine-item test order we removed three shoe boxes and vacuum-sealed two hoodies and a puffer. The carton went from 52 × 38 × 30 cm (7.41 kg volumetric on the 8,000 divisor) to 44 × 33 × 24 cm (4.36 kg volumetric): a 3.05 kg reduction in chargeable weight.
The add-on cost was about €7 — shoe-box removal ranged from free to roughly $1 per box, vacuum sealing about $2–3 per bag. At the effective €12–14 per kilo we were paying on that lane, €7 bought back somewhere between €37 and €43. The trade-off is real, though: once the retail box is gone, damage claims are harder, and vacuum-packed outerwear arrives creased and needs a wash or an iron before it is wearable.
Coupon timing can undo a good trim
Coupons attach at the shipping payment step, not at item checkout, and they are usually gated by weight or spend tiers with hard expiry dates. Our log has a clean example: a six-item box trimmed down to 4.36 kg, while the coupon we were holding required a 5 kg minimum. Trimming 0.7 kg cost us a $15 credit — more than the waste we removed. Check the coupon tier before you approve volume reduction, not after.
Payment processing is the other quiet line. We observed roughly 2.9% applied to the entire checkout total, shipping included, so a €215 goods-and-shipping bill carries about €6.20. Paying in CNY or USD and letting a multi-currency card convert avoids a second conversion at the platform's own rate.
The Poland-side bill nobody prints on the line card
Polish import VAT has applied from the first euro since 1 July 2021 — there is no free threshold — and it is calculated on goods plus international shipping, not on goods alone. From 1 July 2026 the old €150 customs duty exemption is gone. Consignments up to €150 now carry a temporary flat €3 duty per item per tariff heading, in force until 1 July 2028. It is charged per item, not per parcel: five T-shirts of the same description attract one €3 charge, while a T-shirt plus a watch attracts €6. Above €150, normal tariff-rate duty applies instead.
That creates a genuine consolidation trap. Grouping parcels saves weight, but a mixed box can multiply the €3 duty. Where VAT is collected at checkout through IOSS, the parcel clears faster and no courier handling fee appears; where it is not, Poczta Polska or the delivering courier collects the VAT plus a handling charge before release.
A worked landed-cost stack
| Landed-cost line | Amount (EUR) | What drives it |
|---|---|---|
| Item prices (6 items) | 138.00 | Sets the customs value |
| China-side domestic shipping | 6.50 | Three different sellers |
| Agent purchase fee | 0.00 | 0% at the time of our order |
| Extra QC photos | 1.50 | Two re-shoots |
| Packaging removal + vacuum sealing | 7.00 | 3 shoe boxes, 2 sealed bags |
| International shipping, 6.1 kg chargeable | 74.00 | Tariffless lane, 8,000 divisor |
| Coupon applied | −12.00 | Weight-tier coupon, 30-day expiry |
| Payment processing (~2.9%) | 6.20 | Charged on the full total |
| Polish import VAT, 23% | 48.76 | On goods + shipping, no threshold |
| EU flat customs duty | 6.00 | EUR 3 × 2 tariff groups |
| Landed total | 275.96 | About €46 per item |
The headline item spend was €138. The bill at the door was €276 — just under twice the number the shopping list suggested. Across our 2026 Poland tests, landed cost has landed between about 1.8× and 2.1× the item total, and the gap widens as the box gets bulkier.
What we would change first
- Consolidate and trim volume before anything else. On a 4–8 kg haul this is worth more than every coupon combined.
- Pick a lane with an 8,000 divisor over one with 6,000 or 5,000 whenever your box is bulky rather than dense.
- Read the coupon's weight tier before approving shoe-box removal or vacuum sealing.
- Keep the declared consignment value under €150 if you want the flat €3 duty per tariff group rather than full tariff-rate duty.
- Pay in a stable currency through a multi-currency card, and fund the wallet once instead of per item.
The per-kilo rate tells you which line is cheaper this week. Chargeable weight, packing decisions, coupon tiers and the Polish import bill tell you what you will actually pay.
Frequently asked
Does Kakobuy add a service fee on top of the shipping rate?
At the time of our Poland test orders the purchase fee was 0%. The margin comes back on the shipping quote, roughly 2.9% payment processing on the full total, and paid add-ons such as extra QC photos or vacuum sealing. Rates change often, so confirm the live schedule at checkout.
What volumetric divisor do Kakobuy's Poland tax-free lanes use?
8,000: length × width × height in centimetres divided by 8,000, and the higher of that figure and the bench weight is billed. Polish domestic couriers generally use 6,000, so a box that is comfortable on the lane can become volumetric again if it is re-shipped inside Poland.
Is one big box to Poland cheaper than two smaller ones?
Weight-wise, one consolidated box almost always wins, because the first few hundred grams are the most expensive part of any lane. Customs-wise it can lose: from 1 July 2026 the flat EUR 3 duty applies per tariff group inside the parcel, so a mixed box can attract several charges. Below roughly 8 kg we still consolidate.
